Event Planning Guidelines
Standard Requirements:
1. Product Tables (three 6-foot tables) provided for our books, CDs, and informational materials;
2. Travel, meals, transportation, and hotel accommodations provided (or costs reimbursed) for Vinny Flynn and a Travel Companion who will assist with music and/or with questions and sales at the Product Tables;
3. Podium and microphone(s) provided (depending on the situation).
Stipends:
Talk for Church or Prayer group: $500.00 (plus an additional $250.00 if overnight stay is required);
An afternoon or evening of talks and music: $1000 to $1,500, depending on the schedule and on how many members of the MercySong team are involved;
Talks for Conference: 1-3 talks/$1500.
Talks for Parish Mission or Retreat: Minimum of $1,000.00/day. Actual cost is dependent on the schedule and on how many members of the MercySong team are involved. For example, the total cost for a 3-day mission similar to the one outlined below would be $3500-$4000:
* Brief explanation and invitation given by Vinny after the homily at each Mass before the Mission;
* Teachings and follow-up study materials presented by Vinny each evening;
* Music provided by 3-4 people before and after the presentation each evening, throughout the entire Adoration/Confession time on the reconciliation evening, and during the “Hem of the Garment” healing procession on the final evening.
Collection:
The hosting organization will arrange for a free-will offering to be announced and collected for MercySong
during each day of an event.
Shared Costs:
When we have multiple, back-to-back events in a particular area, costs are often lower for each host group, because travel/lodging/food costs can be shared.
